What is web conferencing?
- Web conferencing and online meetings are changing the way that organizations communicate. Web conferencing allows you to conduct live meetings, presentations and remote training via the internet. Features typically included are the ability to share slide show presentations, live video, and other media.

What kind of webcam do I need to use TokBox?
- TokBox video calls will work with a standard webcam; the higher the resolution on the webcam (not megapixels), the better. A webcam with a price range of $30-$50.00 should provide very good quality, where a $10.00 one probably won't provide you with the quality you want. Here are a few recommendations:

What type of microphone should I use?
- Many computers are available with built-in microphones which will work well with TokBox. One thing to remember is that while TokBox uses echo cancellation software to improve the sound quality, the built-in speakers and microphone on your computer may still cause some echo. We therefore recommend using a headset (headphones with a microphone) for the best audio quality. Here are a few recommendations if you're in the market:

Can I use a camcorder?
- If your camcorder has DV output it is possible to use it with TokBox. DV output is the connection that allows you to play your videos from the camera onto your computer so you can then edit them. You can plug the DV output into your computer's firewire port (this port comes built into Macs, but most PCS do not include these – it can however be purchased). Once you have done this, your camcorder will become an available option in your TokBox cam/mic settings.

Why isn't my webcam working?
- Here are a couple of things you may want to try:
- Make sure that you have the latest version of Flash installed. Download here
- Go to "Account" in the top menu and select Cam & Mic Settings from the drop-down menu. A set up window will appear; make sure you've selected the "active" webcam where your image appears. It should be highlighted in yellow.

- Check your microphone sensitivity to make sure it is picking up your voice. You can do this directly on your computer and also in TokBox. Simply go to "Account" and then "Cam & Mic Settings" from the drop-down menu. If you follow this wizard you will be able to test your microphone

- Check the volume on your computer and also the volume on the individual video call windows.

Adding people to your Contact list

How do I add my IM account to TokBox?
- In the bottom of the contact list you will see an "add contacts" tab. Here you will see an option to add your Facebook, AIM, MSN, Google, or Yahoo account. Click the icon for the service you'd like to sign-in to, and enter your credentials.

How do I remove my IM account from TokBox?
- Click "edit" in the Add contacts tab of your contact list. A new window will appear which will list all of your connected accounts. Click "edit" and select the red dot next to the account you'd like to remove. Make sure to click the remove prompt, and select done editing.

How do I add a single contact?
- Click the "invite" button in the Add contacts tab to send an email invitation to join TokBox to an individual. Once they register for an account with that email address, they will have a friend request from you.
- To remove a contact, click the "edit" button with a pencil icon at the top of your Contact list. Select the red dot next to the contact's name to remove them.
- You can only edit the display name of your IM contacts. To do that, click the "edit" button with a pencil icon at the top of your Contact list. Select the grey pencil icon to the right of your contact's name to edit.

What are recent calls?
- Any video call that you have initiated will appear in this section. It will list the date, start time of the call, as well as the call participants. You can choose to "call again" to start the call now, or "reschedule" for the future. Both options will automatically include all the previous participants in the invite list.

What are upcoming calls?
- Any video call that you've scheduled or been invited to will appear here. If it's your scheduled call, you can use the "edit" button to invite more contacts, change the date/time of the call, upload media in advance, and more. If it's a call that you've been invited to, you will only see the option to "preview" the call information before the call has begun. Once the call has started, it will change to "join".

How do I start a Video Chat?
- To start a Video Chat, login to your account and click the "call now" button. Simply type in the email address of your contact, or select them from your TokBox contact list. Select the invite contacts button, and wait for your contacts to join.

How do I invite people to a Video Chat?
- Once you've opened your Video Chat, you'll have several options for inviting people. Immediately you will be prompted to invite people. You have the option to select contacts from your contact list, or manually enter their email address. You can personalize the invite message that will be received via email. Click "invite contacts" to send the invitation and wait for the invitees to join.
- You also have the option to copy and paste the Video Chat URL into a separate email or website. You can promote the call to Facebook, Twitter or MySpace by clicking the corresponding icon in the bottom right corner of the invitation window. It will post the call URL as your status.

- TokBox Video Chat supports up to 20 participants at once.

- In your TokBox Home page, you will see a section titled "Upcoming calls". You will see a list of all your upcoming calls, whether scheduled by yourself or someone else. Locate the correct Video Meeting, and click the start button to begin.

- Any invitees that are TokBox users, and online, will receive a notification that the Video Meeting has begun. Anyone offline at the time the meeting is started will not be notified.

- Moderator controls allows you to approve/deny every participant that requests to join your call. Once the participant is in the call, mouse over their video image and a control list will appear. Do I have to approve everyone that wants to join my Video Meeting?
- There is an option to "always allow", which will automatically approve all join requests. If you chose not to "always allow", only your TokBox contacts can be automatically approved for a moderated call. However, they must be invited through the call Invite tool. Any participant entering the call through a link must be approved.

What does it mean to be on-screen or off-screen?
- On-screen participants will be seen and heard by all attendees of the call. Off-screen participants will be viewing the video call taking place between on-screen participants. They can also interact with the main video call by submitting video questions and text chatting. Off-screen participants can also request to be moved on screen.

How do I choose who will appear on-screen and who will be in the audience?
- When you're selecting contacts to invite to your Video Conference, you'll have the option to choose whether they appear on-screen or off-screen. By default, all invitees receive an invitation for the audience unless you select the down arrow directly to the right of their name and select on-screen.

Can someone view or participate in my Video Conference if they aren't registered to TokBox?
- Yes. Just as in any other TokBox Video conference, unregistered users can join the Conference as a guest. Send them an invitation through the "schedule call" tool, or copy and paste the conference URL into an IM or Email.

What are video questions?
- Video questions are an optional feature for your Video Conference. If you check this box during setup, audience members that are off-screen will be able to record and submit a video question to you. As the moderator you can review this question in advance, then choose whether or not to share it with the entire conference. It's a great way to keep your audience engaged.

Who can use the phone-in functionality on TokBox?
- Only users that are subscribed to the Video Meeting or Video Conference product will have access to the phone-in functionality.

How do you phone-in to a video call?
- At the top of each call window, you will see a phone-in number and a call specific code. Just like a normal conference line, participants can dial the toll free number (if they are in the United States) and enter the chat code. They will then be automatically placed into your video call.

What is the chat code?
- Each video call has a distinct chat code. Once you dial the phone-in number, you'll be prompted to enter this chat code which will automatically place you in the chat.

How much does phoning-in cost?
- For each phone-in participant, the video call organizer will be charged 11¢/minute/participant. TokBox will charge them directly if their credit card is on file. For example, if there are two participants that call in for 10 minutes, you will be charged $2.20. If there are five participants that call in for 5 minutes, you will be charged $2.75. Be sure to look over our Terms of Service.

How do I pay for phone-in minutes?
- The credit card that you have on file with TokBox for your subscription to Video Meeting or Video Conference will automatically be charged.

How many participants can phone-in to my video call?
- We count all participants the same way, whether they are joining by phone or as a video call participant. Video Meeting subscriber are able to have up to 20 participants in one call. Video Conference subscribers will have a higher maximum depending on their subscription. Both Video Meeting and Video Conference subscribers can purchase a one time upgrade for a larger scale call.

Who can phone-in to my video call?
- You can give the phone number to anyone and they can join your chat. The phone number and code will be automatically included in all email invitations that you send for your Video Meeting or Video Conference. You'll be prompted to approve each phone-in participant before they're allowed to join.

Where can I find the phone-in and chat code numbers?
- You can find this information in the top left corner of your call window. It will also be included in all email invitations for scheduled calls.

What if a participant is phoning in from outside of the U.S.?
- Click "Phone-in" in the top left corner to see the international number. This is not a toll free number. The phone-in participant will pay their regular international rate for calling the United States. The "chat code" will remain the same.

Can I share my TokBox account?
- TokBox accounts are not to be shared by multiple people, and are only to be accessed by individuals. When you register you agree with our terms that state that you won't share your password, let anyone else access your account, or do anything else that might jeopardize the security of your account.

I want to sign up for an account, but it says that this email address is already in use. What do I do?
- An email address can only be registered to one TokBox account. If you have deactivated an account, the email address registered to that account won't be available for use on a new account.

How do I update my profile? (image, age, gender, etc.)
- Click on "Account" in the top menu bar then Edit my profile. A new window will appear. Save settings.

How do I change my email notification settings?
- Click on "Account" in the top menu bar and select Account Settings. You will see a list of instances in which you would receive an email notification. If you would like to turn off an email notification for a certain action, make sure the box is unchecked. Save settings.

How do I deactivate my account?
- Click on "Account" in the top menu bar and select "Account Settings". Click "deactivate" and follow the onscreen instructions. This action is permanent; account reactivation is currently unavailable. If you are creating a new account and want to use the same email address linked to this account, you must first change the email address on this account before you deactivate it. If you don't, the email address won't be available for use.

How do I access my subscription information?
- Click Account in the top menu bar, and select Account Settings. In the settings window, select Manage my subscription.

Can I edit the credit card I have on file?
- Click "Account" in the top menu bar, and select Account Settings. Select Manage my Subscription and you'll be redirected to your billing page. Here you can edit your credit card and billing address.

What is your cancellation policy?
- TokBox monthly subscriptions auto-renew. If you want to cancel your renewal you must do so through the Account section of our web site at least 24 hours before your monthly renewal date. You will be charged through the current billing cycle once you cancel.

Can I cancel the trial subscription before the 30-days are up?
- You can cancel the trial. In order to avoid charges for the first month you must cancel your subscription at least 24 hours before the trial end date.

How do I block a user?
- As long as the user isn't in your contact list, you can go to that person's profile and use the block option.

How do I remove someone from my block list?
- Go to "Account", "Privacy Settings". Locate the user in your Block List, and select unblock. Save settings to complete.

Can I report a TokBox user for inappropriate behavior?
- Yes. Send an email to help@tokbox.com with the offending user's name and video message URL when necessary.

How do I enable Javascript in my browser?
- Follow the directions below for your particular browser:
Internet Explorer:
1) Select Tools | Internet Options... menu item from the main menu.
2) Change to the Security tab at the top of the Internet Options window that pops up.
3) From the list of zones at the top of the Security options select the internet icon.
4) Select the button near the bottom that reads Custom Level.
5) In the new window that pops up, scroll down to the item that reads Active Scripting.
6) Select the option marked Enable.
Mozilla Firefox:
Windows
1) Select Tools | Options... from the main menu.
2) Select Content button from the top row of options.
3) Select "Enable JavaScript." (You do not need to enable Java, but it is OK if you do.)
Mac
1) Select preferences from the Firefox menu
2) Select the content tab at the top
3) Make sure "Enable Javascript" is checked
Safari (Mac & Windows):
1) Select Preferences from the Safari menu.
2) Select Security tab at the top.
3) Make sure "Enable JavaScript" is checked.

- The recommended version for the Adobe Flash player is 10.0.45.2

If I'm behind a firewall, what ports do I need open?
- In order to access TokBox, you'll need to have port 80 or port 1935 open.

What operating systems are supported by TokBox?
- Windows and MAC OS. We don't currently support Linux.

What kind of Internet connection do I need?
- We recommend at least a standard DSL line. The faster your connection, the better your video call experience will be. Wi-fi is not as stable as a wired connection & we would recommend video calls on a wired connection.

Do I need to download any software?
- TokBox is a web-based application that requires no downloads to use. All that is required is a recent version of Adobe Flash on the computer you're using. You can download the latest version of Flash Player at http://get.adobe.com/flashplayer/. We also recommend that you use the most recent version of your internet browser

- Internet connection speeds do come into play with audio and video quality. In addition, streaming or downloading items while video conferencing can also affect the quality. A few other things to keep in mind:
- Wi-fi is not as stable as a wired connection & we would recommend video conferencing on a wired connection.
- The connection quality of other participants does come into play, and that video conferencing with someone really distant can cause some latency issues as well.
- More participants=more possibilities for issues and slower speeds.
- While TokBox uses echo cancellation software to improve the sound quality, the built-in speakers and microphone on your computer may still cause some echo. We therefore recommend using a headset (headphones with a microphone) for the best audio quality. We would also recommend closing other applications that are utilizing your cam/mic resources. Using a recent version of Flash helps improve performance as well. Download here: http://get.adobe.com/flashplayer/
- Some quick tips for reducing the probability of having a browser crash or freeze on Tokbox:
